use the Quanthome Platform (building-level data and analytics, portfolio modules, dashboards, etc.);
use Quanthome AI (our conversational interface and related AI tools);

interact with us in any other way (for example, by email, demo calls, events, or support).
Together, we call these services the “Services”.
By accessing or using the Services, you acknowledge that your personal data will be processed in accordance with this Policy. If you do not agree, please refrain from using the Services.

2. What is Personal Data?
“Personal data” or “Data” means any information relating to an identified or identifiable person. That can include:
information that directly identifies you (e.g. name, email address, phone number), or
information that indirectly identifies you when combined with other data (e.g. IP address, account IDs, usage logs).

When you create an account, sign a contract, request a demo, use Quanthome AI, or otherwise communicate with us, we may collect:

Account and subscription information
Login credentials (email, hashed password)
User role, permissions and team membership
Subscription plan, billing contact, and contract information

Payment and billing information
Billing contact, company billing details, VAT number
Payment information transmitted via our payment provider (we do not store full card numbers).
Providing some of this information may be mandatory to create an account or enter into a contract with us. If you do not provide it, we may be unable to provide some or all Services.
3.2 Data processed when you use Quanthome AI and our analytics tools
When you use Quanthome AI, the Platform or related tools, we process:
Inputs
Prompts and questions you type in the interface
Configuration choices (e.g. models, filters, query parameters)
Outputs
Model-generated responses
Generated reports, charts and exports
System messages and error logs
Usage data
Date and time of interactions
Features used, buttons clicked, usage volumes (e.g. number of queries, Qredits consumed)
Associated account / organisation ID
This data can contain personal data about you, your colleagues, or your own customers or business partners depending on what you choose to input. Please only submit personal data that is necessary for your use of the Services.
3.3 Technical and device information
When you access the Site or Services, we automatically collect

5. How we use Data in relation to Generative AI
Our default principle is:
We do not train Generative AI models on your data (including prompts, outputs and datasets you connect) for the benefit of other customers.
We may, however, use aggregated and anonymised usage statistics (e.g. how often a feature is used, generic error patterns) to improve the Services.
To keep the Services safe and comply with our legal and ethical obligations, we may automatically and, in some cases, manually review content:
to detect abuse (e.g. attempts to misuse the system, security threats, spam);
to prevent violations of our terms or applicable law;
to protect Quanthome, our customers and third parties.
6. Who we share your Data with
We do not sell your personal data.
We may share your Data with:

AI infrastructure providers or model hosts
These providers process Data only on our instructions and under appropriate data-protection agreements.

7. Where your Data is stored
Our core infrastructure is hosted in Switzerland.
However, some service providers or AI infrastructure may be located in other countries (including countries outside the EEA and Switzerland). In such cases we take steps to ensure an adequate level of protection, for example:
using standard contractual clauses or equivalent approved mechanisms; and
assessing the level of protection and implementing additional safeguards where appropriate.
8. How long we keep your Data
We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, including:
Account and contract data – for the duration of the contract and for the limitation period required by law;
Usage and log data – for shorter periods necessary for security, troubleshooting and analytics, usually from a few months up to 3 years, unless a longer period is required or permitted by law;
AI prompts and outputs – for providing the Services (such as conversations history)

Under Swiss law and, where applicable, the GDPR, you have the following rights in relation to your personal data:
Right of access – to obtain confirmation whether we process Data about you and receive a copy;
Right to rectification – to correct inaccurate or incomplete Data;
Right to erasure (“right to be forgotten”) – to request deletion of your Data, subject to legal retention obligations;

Right to object – to certain processing based on our legitimate interests, on grounds relating to your particular situation;
Right to withdraw consent – where processing is based on your consent; withdrawal does not affect prior processing;

10. Children’s privacy
Our Services are intended for professional use and are not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.
11. How we protect your Data
We implement appropriate technical and organisational measures to protect your Data against unauthorised access, loss, misuse or alteration, including:
encryption in transit and at rest where appropriate;
access controls and authentication;
regular backups;
monitoring and logging of security-relevant events;
internal policies and staff training.
You are responsible for keeping your login credentials confidential and for notifying us promptly of any suspected unauthorised use of your account.
